Checklists:
Some Quick Tips For Managing Security Risks of Technology in the Workplace.

  • Change employee’s passwords to voice mail and computer and Internet access regularly. (Consider using PIN-based passwords which automatically change in preset intervals.)
  • Modify access protocols frequently and without advance notice.
  • Use monitoring software to monitor communications of employees who are suspected of security breaches.
  • Make sure you know everyone’s passwords at all times.
  • Require that laptop and telecommuter’s data and hard drives are backed up and the information stored securely at the employer’s offices.
  • Arrange for immediate termination of passwords to voice mail and computer and Internet access, in the event of a termination or emergency.
  • Require that all calling card suppliers monitor unusual activity on the cards, and notify you immediately of any suspicious or increased activity.
  • Carefully screen and monitor access to the computer system rooms.
  • Don’t allow temporary employees or cleaning staff unsupervised access to the computer systems.
  • Setup a program to review system access reports, to ensure that no unauthorized access has occurred and no new truck routes have been installed or existing ones modified.
  • Hire a security consultant to review your system and possible break-in locations.
  • Remind employees that nothing confidential should be communicated through wireless devices.
  • Setup firewalls so that access to special electronic data is on an as-needed-basis only, and review the need for access on a regular basis.
  • Use encryption to send confidential data electronically, and to secure information on networks.
  • Use virus-protection software, and update it daily to make sure that the latest viruses are covered.
  • Teach safe-computing policies, and don’t permit software to be shared among computers or programs to be downloaded without prior virus screening.
  • Use audit programs to track and report unusual access or activity in financial or electronic data storage.
  • Before you begin a program allowing remote access to your company’s computers, consult with security specialists.
  • Retain security experts that will respond in the event of a break-in or security breach, and develop a backup system that takes over in the event of a breach.
  • Check with your compliance officer about required disclosure of attempted break-ins or breaches of security based on regulatory requirements.
  • Consult with your insurance carrier regarding data security and risk management.
